Compliance Tracking

PowerHub’s Compliance Tracking module gives you a resource to organize, execute and report on your contractual obligations. Use the module to log specific clauses or sections and information contained within them to give action items context.

Adding Compliance Obligations

 

When the module is being installed to your organization, you'll have the chance to choose which portfolio/project section to display it under; in this example we're accessing the module via the Tasks_0.JPG Tasks section.

From the module's summary page (this is the first place you'll land when accessing it), use the Add.JPG ADD NEW button to add a new entry to the module.

The Form that opens allows you to enter some key data points based on the obligations you want to record, and to establish how you want to manage that obligation by identifying its duration, the frequency at which it will occur and who should be responsible for completing it.

 

You can also add Security Tags to control who can and cannot access individual entries within the module.

Once you're happy with the entry, use the SAVE & CLOSE button to finalize.

 

 

 

Form Actions

 

Each entry within the module has a series of form actions giving you additional tools to make these records useful.

Tip: icons highlighted in blue indicate data has been entered for that particular item

 

 

The Tasks_0.JPG Tasks button allows you to create tasks that automatically link to a given entry, allowing you to notify assigned team members of impending deadlines surrounding each obligation. Creating a task via form actions is exactly the same as doing so via the Tasks section, which you can learn more about here.

 

Use Attachment.JPG Attachments  to link (attach) any relevant document to an entry.  If the document already resides in PowerHub, simply create the link by clicking on the Attachment.JPG BROWSE icon; if the document isn't in PowerHub, click the Upload.JPG UPLOAD icon to import it.

 

To help keep track of activities or discussions, you can make Note.JPG Notes  that will stay exactly where they need to be, with the obligation!

 

The Comms.JPG Communications tool is a quick and easy way to send an email regarding the obligation in question, directly from PowerHub. You can also attach a document to the email, similar to linking documents above.

 

Use the Edit.JPG Edit button to make changes to fields of the obligation entry as necessary.  

 

Use the Delete.JPG Delete button to remove an entry from the module. Keep in mind that items like tasks and documents linked to the entry will be unlinked, but won't be removed from PowerHub entirely.

 

 

 

Importing and Exporting

 

Use the Image_2019-01-10_at_4.29.07_PM.png MORE ACTIONS menu to Import and Export data to and from the module.

Importing Data

If you have many entries to use with the module, you may want to consider bulk-uploading them. To do this, use the Import menu and select the Get Template option, which automatically downloads a pre-formatted .csv file to enter your raw data into.

 

Once populated, use the Upload option and select the .csv file you just populated for upload. PowerHub then formats the raw data into module entries for you to work with and sends a notification email when that process is complete.

Exporting Data

Exporting data is possible in two different ways, both of which give you the options to export to numerous formats including .xlsx and .pdf.

Whereas the Image_2019-01-15_at_1.55.07_PM.png Export tool allows you select individual parameters to include with your export.

 

 

Search and Filter

As is the case with many other modules in PowerHub, you can use the Image_2019-02-08_at_12.28.44_PM.png Search and Image_2019-02-08_at_12.27.33_PM.png Filter tools to more quickly access specific records. You can also use these settings to create personalized dashboard widgets meant to assist you in accessing relevant information as quickly as possible.
